This Microsoft Teams tutorial will explain what Breakout Room Managers are in the context of a Microsoft Teams meeting and will also show you how to assign breakout room managers.

What is a Breakout Room Manager in Microsoft Teams?

Breakout Room Managers are individuals who are given elevated permissions in a breakout room in a Microsoft Team meeting. You might assign specific individuals the role of breakout room manager if they need to present or facilitate during a breakout room in a Microsoft Teams meeting. In terms of permissions, breakout room managers can do the following things:

  • Add new rooms and delete existing rooms
  • Assign and reassign meeting participants to rooms
  • Start and close rooms
  • Join any breakout room
  • Set time limits for breakout room sessions
  • Send announcements to breakout room participants

How Do You Assign a Breakout Room Manager in Microsoft Teams?

Step 1: First, you will need to schedule your meeting, set up breakout rooms in the meeting invitation, and then assign participants to the breakout rooms. For step-by-step instructions on how to do this, check out my blog post that outlines how to do this. Once these steps have been completed, click in to the meeting invite and on the “Breakout Rooms” tab.

Step 2: Next, click on the “…” in the upper right-hand corner of the specific breakout room for which you want to assign a breakout room manager. Then, click on “Settings”.

Step 3: A new page will open in your internet browser and will display the Microsoft Teams meeting setting options for the specific breakout room you clicked on in the previous step.

Step 4: Next, in the “Who Can Present?” drop-down, select “Specific People”. This will add another field just below titled “Choose Presenters”. Click into the drop-down and select the participants whom you would like to have breakout room manager permissions. To confirm the settings, click “Save”. Note that this list will only display those participants who were assigned to the specific breakout room.
